Why put a password on a PDF
A PDF password is needed when a document is not meant for everyone: a contract awaiting signature, a passport scan, a financial statement, a medical record, a business proposal, materials for a small group of people. Without a password anyone who receives the file can open it - from a forwarded email, a shared archive or a borrowed USB stick. With a password the document is readable only by those you gave the password to through a separate channel.
This matters most for files that leave your control: an email attachment, a messenger link, an upload to a third-party form. The channel itself does not protect the file - the file protects itself.
How the protection works
The document is encrypted with AES-256: the contents, including text, images and attachments, become unreadable without the password. This is the same standard used in banking and government systems. The protected file opens in regular programs: Adobe Acrobat Reader, browsers, Preview on Mac, built-in Windows viewers and mobile apps - they will ask for the password when you open the file.
You can also set an owner password. Without it a person can read and print the document but cannot remove the restrictions or change it. If no owner password is set, it matches the open password.
What happens to your password
The password exists only while your file is being processed: we do not store it, do not log it and cannot recover it. If the password is lost, the protected document cannot be opened - by us or by anyone else. Save the password before you start: put it in a password manager or hand it to recipients separately from the file.
The same logic gives a simple rule: never send the file and the password in one message. Send the file by email and the password by messenger or phone.
Typical scenarios
- send a contract or invoice so the file cannot be read if the email is intercepted;
- hand over a passport scan, a statement or a medical record to a government body or a clinic;
- publish a document where many people can download it but only a few can open it;
- keep sensitive files on a removable drive or in cloud storage without risk if access is lost;
- share a commercial proposal whose terms should not travel beyond the recipient.
Limits and checks
Protection does not fix content: if the document has already been read by a stranger before encryption, a password will not undo that. Protect the original, not the copies you already sent out. An encrypted PDF cannot be cracked through this service: re-protecting is only possible for files that open - a protected document is first decrypted with its known password and only then encrypted again.
After protecting, open the file in your usual viewer and make sure the password is requested and, once entered, the document looks as before: pages, signatures and stamps in place.
Password and related steps
A strong password is a long one: at least 12 characters, better a phrase of several words. A short "123456" protects about as much as no password at all. If the document still needs work - combine several files, split or compress - do it before protecting: use merge PDF, split PDF or compress PDF and put the password on the final version.
What is PDF to PDF conversion used for
Contracts and invoices
Financial documents reach the recipient protected: the file cannot be read if the email is intercepted.
Scans of documents
A passport, statement or medical record - a file with personal data opens only with the password.
Shared access
The document sits in a shared cloud or folder: anyone can download it, only the ones with the password can open it.
Archive on a removable drive
A lost USB stick or disc does not reveal the contents of protected PDFs without the password.
Commercial materials
A presentation or a proposal should not be read outside the circle of recipients.
Tips for converting PDF to PDF
Use a long password
At least 12 characters, better a phrase of several words. A short password is brute-forced in minutes.
Send the password separately from the file
File through one channel, password through another: email plus messenger, link plus a phone call.
Save the password before you start
The password is not stored and cannot be recovered. Put it in a password manager before running the protection.
Protect the final version
Prepare the document first - merge, split, compress - and set the password only after that.
